Click “I need to review” button and it will display the policies that you have been asked to
review.
If you have policies that you have started the edit/review for, you can click the blue “I am
editing or reviewing” button
Next click the policy you are going to review and edit.
If you chose “Send to Edit Mode”, you are now on this page “Edit Policy”
You can also include a rationale as to why you’ve decided to put it in edit mode by adding a
comment then click “add comment”.
You can now invite Editors that you wish to review this policy. Select “add” and start entering
the first couple of letters of the person’s name. Name appears below the text box, select then
“ADD”.
Option 1
When you are ready to edit the policy, click 'Check Out Policy'
The policy will then download to your computer. Open policy using Microsoft Word and use track changes to track comments and revisions made to the policy (if applicable).
Once you have done the editing, save revised policy on your desktop.
On the same screen where you checked out the policy, now click on “Check in ”. Make any additional comments in the comment section in the Edit screen.
Once the policy is checked in. The date and time will appear to the right of your name in the “Editors” text box and it will turn green indicating that you have successfully checked back in the revised policy. Other editors invited to edit the policy will follow the same process.
Option 2
If you choose not to “Check Out” and “Check In” a policy, editors can preview the policy by
clicking “Preview PDF” and make comments in the comment box then click “add comment”
Once all the editors have reviewed the policy and provided their revisions/suggestions. Decide
what to adopt as part of the review of the policy. When this step is completed, and the revised
policy has been checked back into Surge. Reviewers will need to change “Not Reviewed”
status to “Reviewed”.
The person(s) that will be approving the policy can now go in and follow the same process.
Policies/procedures can be “Removed from Edit Mode” at any time during the editing process.
